1. Information We Collect

ProspectHalo collects information you provide directly, including your email address, name, and profile image when you create an account or sign in with Google. We also collect account-level usage data such as searches, filters, exports, contact usage, billing tier, and settings preferences needed to operate the product.

2. How We Use Your Information

We use your information to authenticate you, run searches, return search results, enforce plan limits, provide exports, connect optional integrations such as Google Sheets, process billing, prevent abuse, improve product performance, and communicate important account or service updates. We do not sell your personal information.

3. Authentication, Storage, and Security

ProspectHalo uses Better Auth for authentication and stores account, search, and application data in Convex. We apply reasonable technical and organizational safeguards designed to protect your information, but no online system can be guaranteed 100% secure.

We limit repeated requests for signup emails to help prevent abuse. Short-lived counters use keyed, day-specific hashes of new email addresses rather than raw addresses. These counters are scheduled for deletion after two days. Existing accounts are excluded from this additional signup-email limit.

4. Contact Data and Search Results

ProspectHalo returns business contact data sourced through third-party data providers. Search results may include names, job titles, company details, email addresses, phone numbers, professional profile URLs, and related professional data. You are responsible for using this contact data in compliance with applicable outreach, privacy, and marketing laws.

5. Exports and Integrations

If you choose to export data, ProspectHalo may generate CSV, Excel, or Google Sheets outputs for your account. If you connect Google services, we only use the permissions necessary to complete the requested export or integration flow.

If you connect ProspectHalo to ChatGPT, the tools you use can return selected saved workspace data to OpenAI, including lead names, professional profile links, roles, companies, available contact details, conversation text, recorded engagement, lists, agent settings, content and media links. This data becomes part of your interaction with ChatGPT and is subject to OpenAI's applicable policies and your account settings. Only connect a workspace whose data you are authorized to share.

When you request AI content generation, your topic and relevant workspace writing context are processed through our AI service providers, including OpenAI, to produce drafts. Generated drafts are saved in your workspace. The ChatGPT integration can organize saved lead lists and create paused outreach agent configurations after your approval. Creating an agent may validate targeting locations through the connected LinkedIn provider but does not start discovery or sending. With your approval and the additional external-action permission, it can schedule an individually approved post for future publication to your selected LinkedIn profile or company page. It cannot activate agents, send replies, discover or enroll leads, enrich emails, publish immediately or enable autopilot. Other ProspectHalo interfaces and integrations may support additional actions under their own permissions. You can disconnect the integration in ChatGPT. Disconnecting does not pause agents, stop autopilot, cancel scheduled posts or delete saved data held by either service. Manage those actions in your ProspectHalo dashboard.

To prevent duplicate changes when a request is retried, we keep operation identifiers, request hashes and result records for the life of the workspace. Results may include details returned by the selected action. We do not store original request bodies in these retry records, which are included in workspace deletion cleanup. 6. Payments

Paid subscriptions and add-ons are processed by the provider shown at checkout, Whop or Stripe when enabled. ProspectHalo does not store your full payment card details. We share account identifiers and purchase details with the applicable provider and retain customer, subscription, invoice, transaction, refund and billing-status references to manage access, reconcile payments and send account updates. Payment information is handled according to the applicable provider's own policies and infrastructure.

7. Analytics and Service Monitoring

We use optional analytics tools, including PostHog, Vercel Analytics, and the Whop pixel, to understand site usage and improve ProspectHalo. In covered European regions, optional analytics stay disabled until you accept them. You can reject them without losing essential site functionality and change your choice later through the Cookie settings link in the footer. Operational security and error monitoring may still run where necessary to keep the service reliable and secure.

When marketing cookies are allowed, we use Rewardful to attribute affiliate referrals through a 30-day first-party cookie. Rewardful receives referral activity and referred customers' Stripe customer, subscription, payment and refund records to calculate commissions. Affiliates do not receive your email address. You can withdraw marketing-cookie permission through Cookie settings.

8. Data Retention

We retain account and usage data for as long as needed to provide the service, maintain billing and audit records, resolve disputes, enforce our terms, and comply with legal obligations. If you delete your account, we will remove or anonymize data where reasonably practical, subject to legal and operational requirements.

To prevent repeated introductory offers after account deletion, we retain keyed hashes of the email address and account identifier associated with recorded trial or payment history for 400 days from recording. These records can remain after account deletion. They are pseudonymous, not anonymous, and do not contain your raw email address, card details, device fingerprint, or IP address. Expired records are no longer used for eligibility checks and are removed in scheduled batches. Minimal checkout references are retained while needed to reconcile payment attempts and avoid duplicate subscriptions. You can contact us to request a review of an eligibility decision or the continued need to retain your records.

9. Your Choices

You may update your account information, disconnect integrations, or request account deletion from within the product where available. You may also contact us to request access, correction, or deletion of your personal information, subject to applicable law.
